- Call toll free 1-800-942-3767 and enter your ID number (your phone number with area code), followed by the # sign, then your PIN number, followed by the # sign.
- If you do not know your PIN number, call the SubDesk at extension 181350 or (619)425-9062.
- Follow the voice menu to enter and manage absences and access other features. It is recommended that you call in to check the computer recording of your name and title. To do this, press Option 5 and follow the prompts.
- When entering an absence, please wait until you receive a confirmation number before you terminate the phone call. Your transaction is not complete until you receive a confirmation number.

CVESD Absence Reporting Guidelines

Procedure
- Each employee is responsible for entering his/her own absences.
- All absences away from the employee's normal work site must be reported to Frontline Absence Management, even if a substitute is not required (this includes Professional Development).
- An employee can NOT enter absences for anything in the past.
- If an employee is unable to report their absence, the responsibility will fall upon their site administrator to enter the absence.
Phone System (1-800-942-3767)
- Absences via the phone system must be reported in advance of the absence. Same day absences need to be reported BEFORE the employee's scheduled start time (i.e. if the job starts at 8:00 am, the absence will need to be entered before 8:00 am). Otherwise, the absence will need to be entered by a site administrator.
- Frontline Absence Management allows an employee to report absences up to 30 days in advance over the phone.
- Multiple day absences may be entered in Frontline Absence Management. Select the option for entering multiple days and listen carefully to the prompts to enter start/end time, and to hear the confirmation of days absent.
- Assigning a specific sub requires the employee to enter the sub's phone number as it is entered in Frontline Absence Management, including the area code.
Online System (www.aesoponline.com)
- When reporting your absence in Frontline Absence Management, select the day you will be absent by clicking on the date (highlighting in blue) on the calendar. To select multiple (consecutive) days, highlight each of the days you will be absent, or use the drop down calendar option above the month calendar.
- "Advanced Mode" must be used to report variations in times or reason codes while keeping the same substitute. (example: Friday IA/SA Hours)
- Itinerant Employees need to include the school sites they are absent from in their "Notes to Substitute" so that the substitute is aware of where the assignment is for the day.
- Frontline Absence Management will not "request" a sub as it used to in SubFinder. The only options are to have the absence open to the sub pool or "Assign" a specific sub who is already aware of and has agreed to the assignment.
- To assign a specific sub, you need to click on the white button "CREATE ABSENCE AND ASSIGN SUB", not the green "CREATE ABSENCE" button. This should only be used if you have previously communicated with the substitute and they have confirmed that they will be available to sub for you.
* If work hours/lunch breaks change, the Subdesk must have written authorization from the site secretary or principal.
